How to Share an Outlook Calendar
Outlook supports calendar sharing within and across Microsoft 365 tenants. The flow differs slightly between the new Outlook, classic Outlook, and Outlook on the web (OWA).
Step-by-step
- In Outlook on the web: click the Calendar icon, then Share in the top-right.
- Type the email address of the person you want to share with.
- Pick a permission level: Can view when I'm busy, Can view titles and locations, Can view all details, or Can edit.
- Click Share. They get an invitation email with an Accept button.
- Once accepted, the shared calendar appears under People's calendars in their sidebar.
Sharing with external (non-Microsoft) users
External users get a limited-detail view by default. Your tenant admin can enable full sharing in the Microsoft 365 admin center under Org settings → Calendar.
Delegate access (manage someone else's calendar)
Delegation is different from sharing — a delegate can send and respond to meeting requests on your behalf. In classic Outlook: File → Account Settings → Delegate Access. In new Outlook this option is currently being phased in; OWA users should use Settings → Mail → Accounts → Delegate.
