How to Print Google Calendar (Month, Week, or Agenda)
Google Calendar has a built-in print flow that outputs a clean month, week, day or agenda page, or a PDF. The defaults are bland; the date range, orientation and Print color options are where you make it useful.
Step-by-step
- Open calendar.google.com in a desktop browser. Printing is not available in the Android and iPhone apps.
- Switch to the view you want on paper: Day, Week, Month, Year or Schedule (the agenda list) from the view selector at the top right.
- Click the gear icon → Print, or press Ctrl/Cmd + P.
- In the print preview set the Print range (start and end date), Font size, Orientation (Auto, Portrait or Landscape) and Print color (Color, Outline, or Black and white). Tick Show events you have declined only if you need them.
- Click Print. Your browser's print dialog opens: pick a printer, or choose Save as PDF as the destination.
Fit a whole month on one page
Use Month view, set the print range to the first and last day of the month, choose Landscape and a Small or Normal font. Google then scales the grid to a single sheet. If a busy week still overflows, hide calendars you don't need (next section) or switch Print color to Outline, which prints event titles only, without colored blocks, and fits more text.
Print an agenda list instead of a grid
Switch to Schedule view before printing. The output drops the grid and lists every event with its time, title, location and calendar in date order, which is the right format for trip plans, a week of meetings, or a hand-out for someone who does not use a calendar app. Set the print range to the exact days you need; Schedule view otherwise prints everything from today onward.
Print only some calendars
The print preview includes exactly the calendars that are ticked in the left sidebar. Untick your work calendar, the holidays calendar or a sports feed before you press Print and they disappear from the page. Retick them afterwards; the print settings don't remember this for you.
Save as a PDF
Google's print flow always goes through your browser's print dialog. In Chrome and Edge set Destination to Save as PDF; in Safari click the PDF button at the bottom left; in Firefox choose Save to PDF. Paper size (A4 or Letter) and margins are also set in that dialog, not in Google's preview. The PDF keeps the colors you chose under Print color.
Black-and-white and ink-saving options
- Black and white — grey event blocks, readable on any printer.
- Outline — no filled blocks at all, just titles; the most ink-efficient and the best choice for a photocopy.
- Color — the on-screen colors. Choose this for the PDF you email around.
If the printout comes out in grey even though you chose Color, check the browser dialog: many printers default to "Black and white" there.
When Google's layout is not enough
Google's print output is intentionally minimal: one grid, one font, no notes column, no lines to write on. For a planner-style page, a year-at-a-glance sheet or anything decorative, export the events instead (how to export Google Calendar) and lay them out in a template of your choice, or print the calendar from Outlook or Apple Calendar, which offer a few more layout options.
